JET TECHNOLOGIES × ZILLA
SEPTEMBER 2026 / PROPOSAL 01A practical plan to move Jet Technologies’ customer records, sales processes and email marketing to ActiveCampaign, with minimal disruption to the team and a target switch before HubSpot renews on 26 October.
01 / THE ENVIRONMENT
Over eight years, Jet has built up far more than a contact list. The move needs to carry across customer history, sales processes, landing pages and email marketing, while keeping the team’s day-to-day work running.
02 / THE OPPORTUNITY
Keep the tools Jet needs, at a lower annual cost.
Jet mainly uses HubSpot to manage customer records, sales pipelines and email marketing. The team may not need many of the more advanced features being added to the platform.
ActiveCampaign could cover these needs at a lower subscription cost. We’ll confirm the required features and licences before committing to the final setup.
INDICATIVE ANNUAL PLATFORM COST
THE THREE-YEAR VIEW
Subscription prices are indicative and depend on final vendor quotes, required licences and future price changes. These figures show the potential savings; they are not a guarantee.
The decision also needs to work for the team: customer history must remain useful, enquiries must reach the right people, and the new system must be practical to manage.
03 / THE REAL CHALLENGE
Moving ~14,000 contacts is relatively straightforward. The harder part is bringing across the history, pages, forms and processes connected to them.
We’ll work through each of these with Jet, so the sales and marketing teams have what they need when they start using ActiveCampaign.
04 / HOW THE SYSTEMS CONNECT
Forms, customer records, sales pipelines and follow-up need to work together. This is how the main parts of Jet’s setup will connect after the move.

05 / MIGRATION COVERAGE
HubSpot and ActiveCampaign organise information differently. We’ll agree where each record, field and process belongs, then check that it works as expected in the new system.
| HubSpot asset | Scale | ActiveCampaign destination | Approach |
|---|---|---|---|
| Contacts | ~14,000 | Contacts | Map + migrate |
| Companies | ~7,700 | Accounts | Map + migrate |
| Deals | Confirm during audit | Deals | Map + migrate |
| Deal pipelines / stages | Confirm during audit | Pipelines | Rebuild + map |
| Contact / company properties | Confirm during audit | Custom fields | Review + map |
| Owners | ~45 users currently | Users / ownership | Map required users |
| Historical notes | ~5,700 | Historical record | Keep in an agreed, readable format |
| Forms | Confirm during audit | ActiveCampaign forms | Rebuild |
| Landing pages | ~170 | Agreed landing-page setup | Migrate using reusable templates |
| Email templates | ~50 | ActiveCampaign templates | Rebuild or migrate agreed templates |
| Lists / segmentation | Confirm during audit | Lists / segments | Recreate where required |
| Workflows | Confirm during audit | Automations | Review + rebuild |
06 / HISTORICAL DATA
The sales team should be able to pick up where they left off.
Contacts, companies and deals can be moved into the corresponding records in ActiveCampaign. Notes, calls and meetings are less straightforward: some HubSpot activity types do not have an exact equivalent.
We’ll export the agreed history and keep it in a readable format linked to the relevant customer record.

HISTORICAL HUBSPOT ACTIVITY
02 Sep 2024 — Called customer — discussed packaging requirements
14 Oct 2024 — Sample requested
03 Feb 2025 — Follow-up meeting with procurement
We’ll confirm the format during migration testing. The example shows how history can stay readable; it does not mean every HubSpot activity can be recreated in the same way in ActiveCampaign.
07 / LANDING PAGE STRATEGY
Reuse the layouts. Move the pages Jet still needs.
Jet’s pages cover products, divisions, events and enquiries. Many share the same layout. We’ll audit the current library, agree which active pages are still needed, and use reusable templates to migrate them.
We’ll agree whether to use ActiveCampaign landing pages, Jet’s existing WordPress site, or a combination. The choice will depend on how quickly the pages can be built, how well they work and how easy they are to maintain.
08 / HOW WE’LL MANAGE THE MOVE
HubSpot remains the live system while we set up ActiveCampaign, move the initial data and test it with Jet. Cutover is the final switch: we bring across the latest changes and move forms, automations and users to ActiveCampaign.
09 / PROPOSED TIMELINE
Some tasks will run alongside each other.
Jet will test the new system before the final switch.
This schedule is achievable if both teams provide the access, decisions and approvals needed to keep the work moving.
Dates are indicative. The target is to complete the switch before the 26 October renewal, with post-launch support from that date. Jet will need to confirm renewal and cancellation requirements with HubSpot before the final switch.
10 / MIGRATION READINESS
The amber items need more planning and testing. They are achievable, but we’ll need Jet’s input to get them right.
Map and migrate customer records
Map to ActiveCampaign Accounts
Check pipeline stages and record owners
Agree how notes will be exported and stored
Agree active pages and reuse common templates
Rebuild and test forms and enquiry assignments
Agreed templates can be recreated
Review triggers and actions, then rebuild and test
Existing website remains in place
Outside initial migration scope
Outside initial migration scope
Depends on prompt decisions from both teams
11 / WHO DOES WHAT
IMPLEMENTATION & DELIVERY
To keep the 26 October target on track, both teams should aim to respond to decisions and approvals that affect the migration within 1–2 business days.
12 / AGREED OUTCOMES
At completion, Jet Technologies should be able to:
13 / SCOPE & DELIVERABLES
14 / SCOPE BOUNDARIES
Outside the initial scope unless explicitly agreed.
The initial audit will confirm what needs to move and which users need access. The following work is excluded unless we agree otherwise.
If the audit uncovers significant work that wasn’t apparent when this proposal was prepared, we’ll discuss the effect on scope, timing and cost with Jet. We won’t undertake material additional work without approval.
15 / WHY ZILLA
We design and set up ActiveCampaign CRM, email marketing and automations around the way each client works.
Zilla founder Nick Cottee previously worked at ActiveCampaign and brings firsthand knowledge of the platform.
We have experience moving CRM data, mapping records and rebuilding the processes that depend on them.
We’re based in Sydney and can work directly with Jet’s team, including onsite workshops where useful.
